1. INTRODUCTION AND SCOPE

AuthorsWrites, LLC ("AuthorsWrites," "we," "us," or "our") is committed to protecting the privacy of all users of our platforms, BookBridge.IO and ReaderBridge.IO (collectively, the "Platforms"). This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and your rights with respect to your data.

This Privacy Policy applies to all users of the Platforms, including Authors (individuals who use BookBridge.IO to market and distribute their books) and Readers (individuals who use ReaderBridge.IO to discover and download books).

By creating an account, accessing, or using our Services, you consent to the collection and use of your personal information in accordance with this Privacy Policy. If you do not agree, please do not use the Services.

This Privacy Policy is incorporated by reference into our Terms of Service. Terms not defined herein have the meanings given to them in our Terms of Service.

2. INFORMATION WE COLLECT

2.1 Information You Provide Directly. We collect information you provide when you register, use the Services, contact us, or participate in promotions, including:

  • Full name and/or pen name
  • Email address
  • Username and password (passwords are stored in encrypted form)
  • Author or publisher profile information, including bio, book titles, genres, website URL, and social media links
  • Book files (eBooks, ARCs), cover images, and promotional materials uploaded to the Platforms
  • Payment and billing information — collected and processed by our third-party payment processor; AuthorsWrites, LLC does not store full credit card numbers or banking credentials
  • Communications you send to us, including support inquiries and email correspondence
  • Survey responses, feedback, or other information you voluntarily provide

2.2 Information Collected Automatically. When you use the Platforms, we automatically collect technical and usage information, including:

  • IP address and approximate geographic location (city/region level)
  • Browser type, version, and language settings
  • Device type and operating system
  • Pages visited, features used, and links clicked on the Platforms
  • Date and time of each visit and session duration
  • Referring URLs and click-through data from promotional campaigns
  • Engagement data, including download confirmations and opt-in events

2.3 Information from Third Parties. We may receive information about you from third parties, including:

  • Social media platforms if you choose to connect your social accounts
  • Payment processors (transaction confirmations and chargeback notifications)
  • Analytics providers that help us understand Platform usage
  • Third-party integrations you connect to your account (e.g., email service providers)

3. HOW WE USE YOUR INFORMATION

We use the personal information we collect to:

  • Create and manage your account and provide the Services to you;
  • Process payments and manage Subscription Plans;
  • Facilitate Book Swaps and Promotional Campaigns between Authors;
  • Deliver eBooks and ARCs to Readers as directed by participating Authors;
  • Share your Reader email address and first name with Authors whose newsletters or campaigns you have explicitly opted into — and, where applicable, share Author contact information with Readers for direct communication;
  • Operate and improve our AI Tools, which may use aggregated, anonymized usage data for model improvement purposes;
  • Send you transactional emails, including account confirmations, delivery notifications, Book Swap updates, and billing receipts;
  • Send you promotional communications about our Services — with your consent and subject to your right to opt out at any time;
  • Provide customer support and respond to your inquiries;
  • Monitor and analyze usage of the Platforms to improve performance, fix bugs, and develop new features;
  • Detect, investigate, and prevent fraudulent activity, abuse, security breaches, and other unauthorized activity;
  • Comply with applicable legal obligations, court orders, or regulatory requirements;
  • Enforce our Terms of Service and protect the rights, safety, and property of AuthorsWrites, LLC and our users.

4. HOW WE SHARE YOUR INFORMATION

We do not sell your personal information to third parties. We share your information only as described below.

4.1 Author-to-Reader and Reader-to-Author Sharing. A core function of the Platforms is connecting Authors with Readers. When a Reader explicitly opts into an Author's newsletter, email list, or download campaign through ReaderBridge.IO, that Reader's email address and first name will be shared with the Author for the purpose of newsletter communications. When Authors participate in Book Swaps, their book information and author profile may be shared with co-participating Authors for cross-promotion purposes. Please be aware that once your email address is shared with an Author, your data becomes subject to that Author's own privacy policy and their email service provider's terms. AuthorsWrites, LLC is not responsible for the data practices of individual Authors.

4.2 With Service Providers. We may share your information with third-party service providers who perform services on our behalf, including:

  • Payment processors (for billing and subscription management)
  • Cloud hosting and infrastructure providers
  • Email delivery services (for transactional and marketing emails)
  • Analytics and performance monitoring providers
  • Customer support platforms
  • Fraud prevention and security services

These service providers have access to your personal information only to perform specific tasks on our behalf and are contractually prohibited from using it for any other purpose.

4.3 With AI Service Providers. If you use our AI Tools, inputs you submit (such as book descriptions, marketing copy prompts, and metadata) may be processed by third-party AI model providers. We use commercially reasonable measures to minimize the inclusion of personally identifiable information in AI inputs and to ensure appropriate data processing agreements are in place with all AI providers.

4.4 For Legal Compliance and Safety. We may disclose your personal information if required by applicable law, valid legal process (including subpoenas or court orders), or government request, or where we reasonably believe disclosure is necessary to: (a) comply with a legal obligation; (b) protect the rights, property, or safety of AuthorsWrites, LLC, our users, or the public; (c) investigate or prevent fraud, abuse, or security incidents; or (d) enforce our Terms of Service.

4.5 Business Transfers. In the event of a merger, acquisition, sale of substantially all assets, reorganization, or bankruptcy involving AuthorsWrites, LLC, your personal information may be transferred to the acquiring or successor entity as part of the transaction. We will notify you by posting a prominent notice on the Platforms or by sending you an email at least thirty (30) days before your information is transferred and becomes subject to a different privacy policy.

4.6 With Your Consent. We may share your personal information for other purposes not described in this Privacy Policy with your explicit, informed consent.

5. COOKIES AND TRACKING TECHNOLOGIES

5.1 We use cookies, web beacons, pixel tags, and similar tracking technologies to operate the Platforms, remember your preferences, serve relevant content, and gather analytics.

5.2 Types of Cookies We Use:

  • Session Cookies: Required for core Platform functionality; these expire when you close your browser and are not stored on your device permanently.
  • Preference Cookies: Remember your settings and preferences (such as display options and notification settings) to improve your experience on return visits.
  • Analytics Cookies: Help us understand how users interact with the Platforms, which pages are visited most frequently, and where users encounter issues (e.g., Google Analytics).
  • Security Cookies: Detect and prevent fraudulent activity and protect the integrity of the Platforms.

5.3 Cookie Controls. Most web browsers allow you to control cookies through their settings. You may instruct your browser to refuse all cookies or to alert you when a cookie is being set. Disabling certain cookies may affect your ability to use some features of the Platforms. For information on managing cookies, please visit your browser's help documentation.

6. EMAIL COMMUNICATIONS AND CAN-SPAM COMPLIANCE

6.1 Platform Emails. AuthorsWrites, LLC will send you transactional emails related to your account activity (such as registration confirmations, delivery receipts, and billing notices) and, with your consent, promotional emails about our Services and new features.

6.2 Opting Out. You may opt out of promotional emails from AuthorsWrites, LLC at any time by: (a) clicking the "Unsubscribe" link included in every promotional email; or (b) contacting us at support@bookbridge.io with the subject line "Unsubscribe." We will process your request within ten (10) business days. Please note that opting out of promotional emails will not affect your receipt of transactional emails, which are necessary for the provision of the Services.

6.3 Author Email Communications. When you opt in to an Author's newsletter or download campaign through ReaderBridge.IO, you consent to that Author sending you email communications pursuant to their own privacy policy. AuthorsWrites, LLC is not responsible for the content, frequency, or compliance of emails sent directly by Authors. To unsubscribe from an Author's emails, please use the unsubscribe mechanism in the Author's emails or contact the Author directly.

6.4 CAN-SPAM Compliance. All promotional emails sent by AuthorsWrites, LLC comply with the requirements of the CAN-SPAM Act of 2003, including: (a) accurate sender identification; (b) a non-deceptive subject line; (c) clear identification as an advertisement where required; (d) inclusion of our physical mailing address: 7838 Curtis LN, Spotsylvania, VA 22551; and (e) a functioning opt-out mechanism in every email.

7. DATA RETENTION

We retain your personal information for as long as your account remains active or as reasonably necessary to provide the Services. When you close your account, we will delete or anonymize your personal information within a commercially reasonable time, except where retention is required or permitted by applicable law.

We will retain and use your personal information as necessary to: (a) comply with our legal obligations; (b) resolve disputes and enforce our agreements; (c) maintain records required for tax, accounting, or regulatory purposes; and (d) prevent fraud and abuse.

Usage data and analytics information are generally retained for shorter periods, unless used to improve the security or functionality of the Platforms, in which case they may be retained for longer periods as permitted by law.

8. SECURITY OF YOUR INFORMATION

AuthorsWrites, LLC implements commercially reasonable administrative, technical, and physical security measures designed to protect your personal information from unauthorized access, use, disclosure, alteration, or destruction. These measures include, but are not limited to, encryption of data in transit and at rest, access controls, and regular security assessments.

However, no method of transmission over the Internet and no electronic storage system is completely secure. You acknowledge and understand that we cannot guarantee the absolute security of your personal information. You use the Services at your own risk. If you believe your account or personal information has been compromised, please contact us immediately at support@bookbridge.io.

9. CHILDREN'S PRIVACY

The Platforms are not directed to, and we do not knowingly collect personal information from, individuals under the age of 18. If you are under 18, you are not permitted to use the Services.

If we become aware that we have inadvertently collected personal information from a child under 18, we will take prompt steps to delete that information from our systems. If you are a parent or guardian and believe your child has provided personal information to us, please contact us at support@bookbridge.io.

10. CALIFORNIA CONSUMER PRIVACY ACT (CCPA)

If you are a resident of California, the California Consumer Privacy Act (CCPA) provides you with the following additional rights with respect to your personal information:

  • Right to Know: You have the right to request disclosure of the categories and specific pieces of personal information we have collected about you, the categories of sources from which that information was collected, the business or commercial purposes for collection, and the categories of third parties with whom we share it.
  • Right to Delete: You have the right to request deletion of your personal information, subject to certain exceptions (such as information required to complete a transaction, comply with a legal obligation, or prevent fraud).
  • Right to Opt Out of Sale or Sharing: AuthorsWrites, LLC does not sell your personal information in exchange for monetary consideration. However, the sharing of Reader email addresses with Authors in connection with newsletter opt-ins may constitute "sharing" as defined under the CCPA. You may opt out of such sharing by contacting us at support@bookbridge.io.
  • Right to Correct: You have the right to request correction of inaccurate personal information we maintain about you.
  • Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.

To submit a CCPA rights request, please contact us at support@bookbridge.io with the subject line "California Privacy Request." We will respond to verified requests within forty-five (45) days. We may require you to verify your identity before processing your request.

Authorized Agents: You may designate an authorized agent to submit CCPA requests on your behalf. We may require written proof of the agent's authorization and may verify your identity directly before processing the request.

11. YOUR PRIVACY RIGHTS

In addition to any rights specific to your jurisdiction, you have the following general rights with respect to your personal information:

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may request that we correct or update inaccurate or incomplete personal information.
  • Deletion: You may request that we delete your personal information, subject to applicable legal retention obligations.
  • Objection: You may object to certain processing of your personal information (e.g., direct marketing communications).
  • Restriction: You may request that we restrict the processing of your personal information in certain circumstances.
  • Portability: You may request a portable, machine-readable copy of the personal information you provided to us.
  • Withdrawal of Consent: Where we process your personal information based on your consent, you may withdraw that consent at any time without affecting the lawfulness of processing before withdrawal.

To exercise any of these rights, please contact us at support@bookbridge.io with the subject line "Privacy Rights Request." We will respond within a reasonable time and may request that you verify your identity before we process your request. We will not charge a fee for processing a reasonable request.

12. DO NOT TRACK

Some web browsers offer a "Do Not Track" (DNT) feature that signals to websites that you prefer not to have your online activity tracked. The Platforms do not currently respond to DNT signals, as there is no established standard for how websites should interpret such signals. If a standard is adopted in the future, we will revisit this policy.

13. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy from time to time to reflect changes in our data practices, technology, applicable law, or business operations. When we make material changes, we will: (a) post the revised Privacy Policy on the Platforms; (b) update the "Effective Date" at the top of this document; and (c) notify you by email or by a prominent notice on the Platforms at least fourteen (14) days before the changes take effect.

We encourage you to review this Privacy Policy periodically. Your continued use of the Services after the effective date of any revision constitutes your acceptance of the updated Privacy Policy.
